OptiMor for hotels, resorts and accommodation businesses

In hospitality there is no single date: there is an arrival, a departure and the nights in between, and the amount follows from all three. OptiMor collects the date range, the room type and board basis and how many adults and children are coming, and it relays the cancellation terms with nothing smoothed over. A message from a guest already on site is something to act on rather than log, so it reaches the right department with the room number.

The most common requests in this field

  • Asking about free rooms and the nightly rate for set dates
  • Finding out whether a child's age changes the price
  • Checking the cancellation terms or pushing the stay to later dates
  • Confirming check-in time, address and required papers before setting off
  • Reporting a fault in the room and asking when someone will come
  • Arranging an airport transfer and learning the fee up front

What does the assistant do in this industry?

Builds the booking around the number of nights

A stay is priced by the nights between arrival and departure, so a wrong night count makes the amount wrong too. The assistant takes the range, the room type and the board basis together, and reads availability and the total from the property's own records rather than working them out.

Gives the cancellation terms in full, not in outline

In accommodation the argument almost always begins with the cancellation and prepayment conditions. The assistant does not summarise them, cut them short or make them sound more flexible than they are; it reads them as the property wrote them and sends them in writing with the booking reference.

Sends arrival details before the guest sets off

If the check-in hour, the address, the directions and the required papers are not given in advance, the guest ends up waiting at the door. The assistant shares them ahead of arrival, asks for an estimated arrival time and passes the answer to reception and to room preparation.

Puts a problem from the room in front of the right team

While the guest is still on the property a complaint is a job to be done, not a note to be filed. The assistant takes the room number and the fault, works out whether it belongs to housekeeping, maintenance or food and beverage, and tells the guest the time given.

Says plainly what is guaranteed and what is not

A cot, a higher floor or a late check-out depends on occupancy and cannot always be granted. When the assistant records the request it states whether it is confirmed or subject to availability, and it does not promise what will not happen.

Sends an unhappy guest towards a fix, not a review form

A rating is asked for after check-out, but never from a guest whose stay went wrong. The assistant passes the negative account on in full, without trimming it or turning defensive; the review link goes only to guests who left satisfied.

What needs care in this industry?

The assistant's limits matter as much as what it does.

Nobody else is told who is staying
If another person picks up on a confirmation call, the room type, the dates and the name on the booking are not discussed. Where someone is staying is private in its own right, so the record is flagged for a contact update instead.
A guest who wants to cancel is not stalled
An early cancellation is a chance to sell the room again and beats a guest who simply never turns up. The assistant does not talk anyone out of it, does not hide a penalty, and records the request as it was made once the terms are read.
Putting things right is not payment for a review
Making up for a problem is never made conditional on a positive rating; that breaks review platform rules and is plainly dishonest. The wording of a review is not steered either, only the link is shared.
No payment is taken through the assistant
Prepayment and guarantee conditions are read out, card details are never requested and no money is collected. The assistant sends the property's own payment method in writing, and a card number is never spoken on a call.

Frequently asked questions

What happens when a guest on the property writes in the middle of the night?

The night team is not the day team: if housekeeping or maintenance is off shift, the assistant says the job waits until morning and passes what can be handled overnight to the staff on duty. On smoke, flooding, a medical or security matter it stops asking and hands the conversation to the night manager.

Why are children's ages asked about separately when quoting a family?

In accommodation what a child costs depends on age: a child sharing the same room may be free, discounted or charged in full according to how the property has defined it. That is why the assistant does not stop at the number of adults but asks the ages, and only then reads the amount from the property's system.

How far does the assistant take a group or wedding enquiry?

The assistant asks how many people are expected, which dates are under consideration and the rough budget, then hands the enquiry to the sales team. A group booking rewrites the occupancy plan of the whole property, so the assistant does not close the deal; it does not press on after a price objection, reads out the alternatives defined in the system, and passes no comment on any other property.

What if a guest does not say they will arrive late?

On a booking that has not been guaranteed, the room can be released after the hour the property has set. The assistant reads the late arrival rule during the pre-arrival exchange, and when a guest says they will be delayed it flags the record and tells reception. The guest is spared the worry on the road, and the room is not held for nothing.

How are the fees for extras such as transfers and upgrades handled?

The charge for an airport transfer, a room upgrade or a spa slot is defined in the property's system, and it is read to the guest and confirmed before the request is recorded. Logging one without confirming the fee turns into an argument over the bill at check-out, so the assistant verifies both the amount and whether the service is available on that date before committing to anything.
