OptiMor for schools, training courses and study centres

In education the person who calls and the person who sits in the class are rarely the same: the parent decides and pays, the student attends, and the student is usually a minor. The assistant separates the two in its opening step, taking a prospective parent to a question about level and an existing parent to enrolment details rather than a sales pitch. Absences, documents and instalments branch the same way.

The most common requests in this field

  • Finding the right programme and level for a child and booking a trial lesson
  • Getting a slot to meet the class teacher or a subject teacher
  • Reaching the accounts office to split an instalment or push back its due date
  • Taking an absence notice and putting the reason on record
  • Asking when an enrolment certificate or a grade transcript will be ready
  • Pausing enrolment for health or a house move, and checking the refund terms

What does the assistant do in this industry?

Names no programme until the level is clear

A student placed at the wrong level struggles in the first week, and the trial lesson is wasted along with it. The assistant asks the age, the school year and any earlier tuition in the subject, then reads the recommendation from those answers.

Fits the parent meeting into the teacher's free periods

The time a subject teacher can give to a meeting is only what their own timetable leaves over. The assistant asks what the meeting is about, finds the right teacher, reads out the free periods and records the slot that is chosen.

Treats an absence as a safety matter, not a notice

If a student is missing from a class, the assistant calls the parent and asks whether they knew. When the parent cannot say where the child is, the exchange does not end there: instead of being logged and closed, it goes straight to the school office.

Asks what deadline the document has to meet

An enrolment certificate usually has to reach an application, a military service deferment or a visa file in time. The assistant asks what the document is for and when it is needed, and flags the request as priority for the student affairs office when time is short.

Hears out the reason for leaving, then reads the matching option

A parent leaving over money hears the instalment options, a student who cannot keep up with the level hears about a class change, and a health case hears the right to pause enrolment. The assistant approves none of it, states only what the contract defines and leaves the request with the relevant team.

Opens term enrolment on the actual capacity figure

The assistant reads out the enrolment dates for the coming term, the defined fee and any early-enrolment condition exactly as they stand. The number of places is whatever the system shows, and no urgency is manufactured out of a few remaining seats.

What needs care in this industry?

The assistant's limits matter as much as what it does.

Schooling is never made conditional on payment
A late instalment is raised with the parent alone and only as a payment matter. No sentence hints that attendance, a report card or a place at the school depends on it; if hardship comes up, the record moves to the accounts office.
Account matters are not discussed with a minor
Fees, enrolment, cancellation and arrears are handled with the parent named on the record, not with the student. If a student answers the phone, the assistant does not open the subject; it asks when the parent can be reached and leaves it there.
Grades and report cards are not read out over the phone
An identity check on a voice call is not treated as sufficient, since somebody else may be at the other end. The assistant says the results are out, points to a secure route such as the parent portal, and offers no reading of the marks.
A complaint about a teacher goes on record, not into debate
The assistant makes no case for the teaching, offers no explanation of its own and does not try to bring the parent round. The complaint is kept in the parent's own wording and sent to school management, because weighing it up is a person's job.

Frequently asked questions

Will a trial lesson be arranged for a programme that is already full?

No. Before a trial date is discussed the assistant checks the programme's capacity in the system, so it never offers a day where there is no place. It asks the parent instead whether to hold a spot in the queue or look at another programme the school already runs, and promises nothing about a place opening up.

What happens when a parent gives a low score in a satisfaction survey?

The score is stored raw and unedited, and one open question follows it: what could we do better. The assistant frames nothing that steers the answer and makes no attempt to argue a low mark upwards. A parent who would rather not take part is taken at their word the first time, and the survey is not raised again in that call.

How is the return of a student on a paused enrolment tracked?

The start and end dates of the pause go on the record, with a return reminder attached to the end date. How long a pause may run is not the assistant's call; it reads what the contract and the school's own rules define. If the parent cannot be reached on the return date, the record stays open with student affairs instead of being closed.

What can the assistant do when a parent asks for a scholarship or a discount?

It cannot award a scholarship, approve a discount or negotiate a fee. Where the school's knowledge base defines a scholarship condition, the assistant reads that out word for word; where it does not, the request and the reason behind it go on record for student affairs. It also draws no comparison with another school's fees and passes no comment on a competitor.

Who gets information about a student whose parents live apart?

The assistant speaks only to the person listed as parent or guardian on the record, and it never decides for itself who is entitled. If somebody who is not on the record calls, even whether the student attends the school is left unconfirmed; the request goes to school management so the authorisation on file can be updated.
