The most common requests in this field
- Booking an on-site survey for the work to be done
- Checking the delivery status of materials heading to the site
- Finding out the handover date and remaining stages of a purchased unit
- Opening a request for a defect covered by the building warranty
- Reporting noise, dust or damage caused by the site
- Asking about the status of a quote and its payment plan
What does the assistant do in this industry?
Plans the survey around the crew
The type of work, approximate size, floor and lift situation, and whether the building is occupied all decide which crew and equipment go out. The assistant asks for these before the booking is made and offers a day the crew is free; if there is none, it proposes an alternative.
Plans deliveries around site conditions
Vehicle access to a site can be limited by a crane, a narrow road or restricted hours; if nobody asks first, the truck arrives and has to turn back without unloading. The assistant reads the item-level delivery status by order number or project name, then records the delivery time, unloading conditions and the site supervisor's contact details.
Reports the handover process and documents
A buyer plans the end of a lease, the move and a school registration around the handover date, so 'it is progressing' is not an answer. The assistant relays which stage the project has reached, the documents required before handover and the handover appointment exactly as the system holds them.
Ties the warranty claim to a project and unit
In a building warranty, items such as the structural frame, insulation and plumbing run on different periods, and an incomplete record stops the claim at the first step. The assistant collects the project name, unit number, handover date and defect type in separate fields and reads back the request number.
Passes site complaints to the supervisor
Noise, dust and damage reports can run into environmental rules and, if ignored, create a risk of work being halted. Even when the person reporting is not a customer, the assistant records the address and the problem and passes it to the site supervisor; urgent cases go straight to the person in charge.
Keeps contracting quotes apart from unit sales
The same line brings in a company asking for a quote on a job and a person who wants to buy a unit in a project; contracting and sales are two different businesses. The assistant asks about the type of work, the size, the start date, the payment method and whether a mortgage is involved, then logs the quote.

What needs care in this industry?
The assistant's limits matter as much as what it does.
- The handover date is binding
- A handover date in a contract is a commitment, and a single word such as 'probably' or 'I think' creates a contractual expectation. The assistant reads the date from the system as it stands and never issues a new one on its own.
- No opinion on delay or compensation
- When a delay is disputed the assistant gives no opinion on compensation, termination or legal consequences and interprets no contract clause. It records the objection in the customer's own words rather than its own, and passes it to the project manager and the responsible unit.
- The assistant does not decide warranty scope
- Building warranties run on different periods per item. The assistant never says a defect is or is not covered; it opens the record and leaves the scope check to the authorised unit.
- An address given in a complaint never reaches sales
- The person reporting a site issue is usually not a customer of the company, and the address they give never enters a marketing list. It is used only to resolve that report; quotes and project introductions go solely to records that have given permission.
Frequently asked questions
Does the assistant accept responsibility when damage from a site is reported?
No. The assistant does not decide whether the damage came from the site and promises neither compensation nor a repair; assessing liability is the job of site management and the insurer. It writes the report down as given, without adding its own reading, and says nothing that could be taken to mean 'you are right' or 'that is nothing to do with us'.
What happens when a project update reaches the wrong person?
Because identity is not verified, the assistant shares no detail; 'I am his wife' or 'I live here too' does not count either, since only the buyer named in the contract may receive it. If the number is wrong a second time, the record leaves the announcement list until correct details are found.
Can a buyer who cannot recall the handover date or unit number still open a warranty claim?
Yes. Because the period runs from the handover date, the assistant first tries to confirm the project and the unit; if the buyer cannot recall them, the record is opened with a field marked as awaiting confirmation rather than left blank, and passed to the authorised unit. The assistant does not say whether the defect falls inside the period, and gives no day for a technician to arrive.
What does the assistant do when no new supply date is defined in the system?
The assistant makes no estimate and states no date that has no counterpart in the system. It flags the order record with a delay note, writes the case up as urgent if work on site has stopped, and passes it to the sales representative. An equivalent product or a partial delivery is read out only if it is defined in the system; the assistant never proposes substitute material or promises priority by itself.
Does the assistant keep pushing when a quoted customer does not come back?
No. The assistant plans a follow-up day and gets in touch on it, but once the other side says they are not interested there is no second attempt; the reason is recorded, the record is left alone for a defined period and the contact preference is updated. On a price or lead-time objection only the alternative defined in the system is read out; no comment is made about a competitor and the assistant does not negotiate.
